AUTOMATION FOR PROFESSIONAL SERVICES

Follow-up should not
live in your head.

Accounting firms, law practices and advisory offices lose time remembering who has to send what, to whom and when. Vifer orders those recurring reminders without changing how you work.

The problem

The technical work is yours. The reminder is not.

When every deadline depends on someone remembering:

  1. Clients get chased for missing documents.
  2. Deadline notices get prepared by hand.
  3. Each person keeps their own list.
  4. There is no single place to see what is pending.
  5. Preparing the status of a case takes time.

THE STAR PIECE

Deadlines don't
live in your head.

The firm sees which client has sent what, reminders go out on their own and anything stuck reaches a person.

What usually hurts in this sector

  • Clients send their documents on time
  • No chasing anyone by email

Who sees what

What the client sees
What the firm sees

What the client sees

Despacho Ferrer

  • A clear notice with what is missing.
  • Concrete instructions to submit it.
  • A channel to ask.
What the firm sees
  • Status of each case.
  • What was requested and when.
  • Pending documents.
  • Cases with no reply.
  • What needs review.

The pilot

Start with one type of notice.

The pilot can be limited to: One type of deadline, one area of the practice, one contact channel, a specific period and one owner.

That way we measure the flow without touching the rest of the operation.

When the pilot ends you have

  1. 01Running

The chosen process, live with your data and your tools.

  2. 02Measured

The before and after figures, counted with the same rules.

  3. 03Decided

Continue, adjust or stop, with the data in hand.

Clear answers about what we do, how we work and how to partner with us.

What we build · 6 questions

01Do you only do automations and agents?

No. We build whatever tool your business needs: apps, customer portals, websites, internal platforms, dashboards, AI agents and automations. Often it's a mix.

02Do you make mobile apps or only websites?

Both. Usually it's a web app that works on the computer and installs on the phone. If your case needs a store app (App Store or Google Play), we plan it in the diagnosis.

03Can you improve what I already have?

Yes. We can connect, tidy up or extend what you already use instead of starting from scratch. First we look at what works and what doesn't.

04Do you work with my sector?

We work with any sector: clinics, retail, real estate, hospitality, logistics, industry, training, services... What changes is the process, and we learn it with you.

05Does it connect to my software?

In most cases, yes: calendar, email, WhatsApp Business, spreadsheets, CRM, management software or online shops. We check before promising anything.

06What if what I need isn't on the website?

That's normal. What you see are examples. Tell us the problem and we'll tell you whether and how we can build it.

How we work · 6 questions

01How does a project start?

With a diagnosis: you tell us your case, we look at your real process and propose where to start, with scope and timeline in writing.

02How long does it take?

It depends on the scope. We prefer to start with a small piece that works soon and grow from there. The exact timeline goes in the proposal.

03Will I see progress during the project?

Yes. We show you working versions from the first weeks so you give feedback on something real, not on documents.

04What do I need to bring?

Knowledge of your business: how you work today, what repeats and what slows you down. The technical part is ours.

05What if I change my mind halfway?

It happens and it's healthy. We talk it through, see how it affects timeline and scope, and put it in writing before changing anything.

06Do you test before delivering?

Yes. We test every piece with real cases from your business before putting it to work, and review it with you.

Budget and ownership · 5 questions

01How much does it cost?

It depends on what needs building. After the diagnosis we give you a fixed written proposal, before starting. No surprises.

02Are there monthly costs?

If the tool needs servers, licences or maintenance, you'll see it itemised in the proposal from day one.

03Who owns what you build?

It's agreed in the contract and we explain it from the start: what is yours, what uses third-party services and what happens to your data.

04What if one day I want to leave?

Your data is yours and can be exported. Exit terms are written into the contract.

05What happens after delivery?

We can continue with support and improvements. What it includes and how it works is agreed in the proposal.

Partner with Vifer · 5 questions

01Do you work with agencies and consultancies?

Yes. If your clients need custom technology, we can build it with you. We discuss it case by case.

02Do you work white-label?

It can be considered. Tell us the kind of project and the agreement you're looking for.

03Can I propose a joint project?

Yes. If you have a client, a network or a sector you know well and want to build something together, write to us.

04I'm a developer or designer, can I work with you?

Write to us with your work. We look for people who care about the details.

05I have a product idea, will you help me launch it?

We can help you turn it into a first product that works and can be shown. We start by understanding the idea and who it helps.

Individuals and founders · 4 questions

01Do you work with individuals?

Yes. If you have a personal project, an association, a club or a business idea, we can build it too.

02I know nothing about technology, is that a problem?

No. You tell us what you want to achieve in your own words and we turn it into a tool.

03Can you build a prototype to show?

Yes: a first version that works and can be tried, to show partners, customers or investors.

04And an app for my community or association?

Yes: bookings, notices, fees, sign-ups or a private space for members. We adapt it to how you're organised.

Next step

Which recurring reminder is stealing your time?

No-obligation diagnosis. We analyse your case and give you scope, timeline and price in writing.
